General

It is our goal to clearly describe the terms and conditions of your Bavaria & Beyond vacation. In the following text 'we' or 'us' refers to the Bavaria & Beyond tour program. The use of the words 'guests', 'your', and 'you' will refer to all guests listed on the reservation request.

Reservation and Payment Process

Reservations may be made online here through our website www.bavariaandbeyond.com/reservavtions/ or via email by contacting us at info@bavariaandbeyond.com. Unless otherwise specified, all emails and correspondence will be directed to the first guest listed on the reservation request form. Upon receiving your reservation request, we will respond verifying that your request has been received and you will be assigned a booking number along with more information regarding the necessary tour deposit to secure your spot. 

Delayed Deposit Request

We realize this is an unprecedented time and we want to make sure you have peace of mind and flexibility when booking travel for 2021 and 2022. Therefore, we will not request or accept any deposits for our 2021 or 2022 tour offerings until we feel relatively certain that tours will be able to operate in a safe and enjoyable environment. Our hope is that this delayed deposit will enable guests to ensure spots on our upcoming tours while providing the flexibility required during these uncertain times.

Guests signed up for our future tour offerings will receive periodic updates on the current state of international travel and the status of their tour reservation. Should the situation improve to a point where we can confirm the tour with relative certainty, deposits will be requested allowing us to confirm the tour. Of course, guests may choose to cancel their booking for any reason, free of charge, at any time prior to submitting deposits. PLEASE DO NOT BOOK ANY FLIGHTS UNTIL FULL PAYMENT HAS BEEN COMPLETED AND YOU HAVE RECEIVED TOUR CONFIRMATION.

Standard Tour Cancellation & Payment Policy

Guests will be contacted requesting deposits once the state of international travel and interest in the relevant itinerary has reached a point where the trip can take place in a safe and enjoyable environment. After deposits have been received, guests will be notified that the tour is officially a “GO”. From this time onwards, deposits may no longer be refunded.

The remaining tour balance may be paid at any time up until the date listed in your confirmation email. Any cancelations prior to 60 days before the tour’s scheduled arrival date will result in the deposit(s) forfeited as a cancellation fee. Cancellations made by guests from 59 to 30 days prior to their tour's arrival date will receive a 50% refund. Any cancellations made between  29-14 days prior to the tour's scheduled arrival date will result in 75% of the total package price being forfeited while providing guests with a 25% refund. No refunds can be provided within 14 days of your scheduled arrival date. All cancellation requests must be submitted in writing to info@bavariaandbeyond.com.

Date of Deposit Payment through 60 days prior to tour arrival date = Deposit forfeited as cancellation fee

59 - 30 Days prior to arrival date = 50% Refund

29 - 15 Days prior to arrival date = 25% Refund

14 - Tour Arrival = No Refund

2021 Fall Bavaria Tour Cancelation & Payment Policy

Please note, payment, cancelation, and refund policies for our 2021 Fall Bavaria tour, scheduled from October 4th through 13th, requires its own terms and conditions that vary from our standard policy as outlined above. Reservations for this tour may be canceled by guests at any time prior to submitting the initial non-refundable deposit without charge. Once the deposit has been submitted, any reservations canceled prior up until 45 days prior to the tour’s scheduled arrival date, as shown in the tour itinerary, will forfeit the deposit as a cancellation fee. Please note, deposit funds are used to prepare accommodations on the guest’s behalf, they cannot be refunded regardless of the grounds for canceling. Cancellations made by guests 45 - 15 days prior to the scheduled arrival date will receive a 50% refund. Guest cancelations made between 14 - 8 days prior will receive a 10% refund while cancelations made within 7 days of the scheduled arrival date cannot be refunded.

Of course, should the tour fail to meet the necessary number of participants needed, deposits will be refunded in full. Should the tour be canceled or postponed following the initial confirmation, all payments to date will be refunded in full minus a 3% transaction fee needed to cover credit card fees.

Passion Play Tour Cancellation & Payment Policy

Please note, payment, cancelation, and refund policies for our Passion Play tour itineraries require their own terms and conditions that vary from our standard policy as outlined below. Passion Play tour reservations may be canceled by guests at any time prior to submitting the initial non-refundable deposit without charge. Once the deposit has been submitted, any reservations canceled prior up until 120 days prior to the tour’s scheduled arrival date, as shown in the tour itinerary, will forfeit the deposit as a cancellation fee. Please note, deposit funds are used to prepare accommodations on the guest’s behalf, they cannot be refunded regardless of the grounds for canceling. 

The final payment for our 2022 Passion Play itineraries is due 120 days prior to the tour’s scheduled arrival date. The exact date will be noted in an email confirming your reservation and a notice email reminding guests of the upcoming due date will be sent out shortly before the deadline. After the final payment has been submitted, guests canceling their tour up until 91 days prior will receive a 75% refund from the total package price. Any guests canceling their reservation 90 to 61  days prior to the tour's scheduled arrival date will forgo 50% of the total package price while receiving a 50% refund. From 60 to 31 days prior to arrival guests will forgo 75% of the total package price while receiving a 25% refund. Guests canceling 30 to 15 days prior to the scheduled arrival date are eligible to receive a 10% discount. Unfortunately, no refunds can be provided within 14 days of your scheduled arrival date. Time of booking until deposit submission = Cancellation free of charge

Time of initial deposit until time of final payment = €500/person deposit forfeited as cancellation fee

120 to 90 Days = 75% Refund

89 to 60 Days = 50% Refund

59 to 30 Days = 25% Refund

29 to 15 Days = 10% Refund

14 to Tour Arrival = No Refund

Tour Itinerary Changes by Us

We will make every effort to ensure your Bavaria & Beyond vacation operates as advertised. However, we reserve the right to make necessary changes to itineraries, transportation, and/or accommodation if required. In the unlikely event that any alterations to your Bavaria & Beyond vacation must be made, we will contact you in a timely manner. All travel requires some degree of flexibility. While we do our best to ensure punctual departure and return times, itineraries are subject to change. This may be due to a variety of variables such as; road conditions, weather, and traffic, etc. which may impact our schedule.

Travelers Insurance

Travelers Insurance is highly recommended for your Bavaria & Beyond vacation. Please keep in mind that there are many different types of insurance plans that can vary greatly in coverage and expense. The two most common types of travelers insurance are Travel Medical Insurance and Vacation Insurance. Travel Medical Insurance covers any unexpected health care costs while abroad. Many U.S. health insurance plans are not valid in foreign countries. Please keep this in mind and check with your health insurer beforehand and plan accordingly. Vacation Insurance usually covers medical as well as trip cancellation expenses. This insurance reimburses you for any cancellation fees and flight expenses in case of extenuating circumstances.
